Privacy policy

What data we collect, why, how long we keep it, and the rights you have over it.

Controller

Francophone Legal & Administrative Services UK Ltd, 128 City Road, London EC1V 2NX. ICO registration ZC135640. Contact: contact@francolegal.co.uk.

Data collected

Identification and contact details, information about the document to be processed and its recipient, and, when a file is opened, the documents needed to verify identity. We never ask for more than the service requires.

The public enquiry form is processed on FrancoLegal’s behalf by Formspree and is restricted to non-sensitive intake information. Sensitive identity, criminal-record, banking or medical evidence is not requested through that form.

Purposes and legal bases

Answering an enquiry and performing the contract (performance of a contract); verifying signatories’ identity, a requirement of the certifying officers in the chain (legitimate interests); meeting our accounting and legal obligations (legal obligation); measuring site usage and, with separate permission, attributing enquiries from Google Ads (consent).

Secure document transfer

The public enquiry form is not used for passports, identity documents, DBS/ACRO records, bank statements or similar sensitive evidence. When these are required, FrancoLegal arranges restricted-access document storage using an authorised cloud service provider and sends a private upload invitation to the email address on the file. Sign-in is required. The client should not send sensitive identity evidence by ordinary email unless FrancoLegal has specifically instructed otherwise.

Retention

Identity documents and proof of address: deleted twelve months after the file closes. Client file and correspondence: six years. Enquiries that did not become files: twenty-four months.

Recipients

Only the providers strictly necessary to perform the service: certifiers, translators, carriers, and the authorities concerned. No client data is sold. If you separately consent, limited technical browsing and ad-attribution data may be processed by Google Analytics and Google Ads; form contents and sensitive documents are not shared for advertising. We do not run personalised retargeting. See our cookie policy to change your preferences.

Business-to-business outreach using public professional sources

FrancoLegal may collect your name, role, organisation and business contact details from publicly accessible professional sources, including professional firms' websites, official directories of regulated professions and specialist business directories. When contacting you, we identify the exact source of the details we used.

We use this information only to introduce document coordination services relevant to your professional work between the UK, France and certain French-speaking countries, including apostilles, legalisation, certification and translation. We do not sell prospect lists or use these details for advertising profiles.

Where personal data is necessary for relevant, targeted B2B outreach, we rely on our legitimate interests, following an assessment of purpose, necessity and the rights of individuals. We comply separately with electronic marketing rules, which may require prior consent for individuals, sole traders and certain ordinary partnerships.

For prospects with no ongoing business relationship, we keep prospecting data for a maximum of 12 months from its initial collection or the last active interaction initiated by that prospect, whichever is later. Our unilateral follow-up messages do not extend this period. We carry out a monthly review to identify data for deletion or anonymisation. We retain separately the minimum information necessary to respect marketing objections over time. Client file records have separate retention periods, as described elsewhere in this policy.

Access is restricted to authorised FrancoLegal personnel and essential service providers needed to manage professional correspondence, as described in this policy.

You can object to any further direct marketing at any time, free of charge and without giving a reason, by replying 'STOP' to our email or by writing to contact@francolegal.co.uk. You can also exercise your rights of access, correction and erasure and complain to the Information Commissioner's Office (ICO), using the information in this policy.

Your rights

You may request access to your data, its correction or erasure, restriction of or objection to processing, and portability. Write to contact@francolegal.co.uk; we respond within one month. You may also complain to the Information Commissioner’s Office.
